Scheduled reports are a dedicated permission in TCW

In order to send out reports on a schedule, the system first needs to know where to send them.

Setting up a report destination

  1. Hover over ‘Reporting’ and click ‘Destinations’
    Supported destinations are:
    Users
    Email
    FTP
    SharePoint

  2. Click ‘Add new’ and choose your destination name and type.

  3. Complete any other required fields and click submit

Now we have a destination, we can choose what content to send.

All of the reports in the ‘Reporting Centre’ can be scheduled. Just click ‘Schedule’ on a report.

Setting up a Saved Filter

  1. Hover over ‘Documents’ in the menu bar, click ‘All Documents’

  2. Open the ‘Advanced’ filter panel and choose an upload/inspection timeframe - eg a report scheduled for every Friday would need an upload range of ‘Last 7 Days’

  3. Apply any other filters you require, for instance ‘Document Compliance - Non-Compliant’

  4. Scroll to the bottom, click save and choose a name for your filter.

This saved filter will now be stored in the ‘Saved filters’ page in the ‘Documents’ drop down in the menu bar. From here you can ‘Favorite’ the filter, view and schedule.

Sending a filter report to a destination

  1. Hover over ‘Documents’ in the menu bar and click ‘Saved filters’

  2. Locate the filter you wish to set a schedule for and click ‘details’, then ‘Schedule’

  3. In the ‘Timeframe' field it’s best to match your saved filter upload/inspection date filters - This will ensure all data is captured.

  4. Complete the other required fields and click ‘Submit’

InfoFor this example, we will set up a monthly gas capped off report.

  1. Navigate to Documents → All Documents.

  2. Select Advanced.

  3. In the "Uploaded" filter, choose your desired upload frequency (e.g., "Last 4 Weeks" for monthly reports).

  4. In "Including tags," select "Capped Off" to filter for capped meters.

  5. Choose "Relevant Only" in the "Relevance" filter to include only current documents.

  6. Close the filter panel.

  7. Click (blue star) in the top-right corner.

  8. Select "Schedule CSV".

  9. Name your report, choose the frequency, and click "Next".

  10. Add a new email destination. Enter multiple email addresses by typing each address and pressing Enter.

  11. Complete the remaining fields and click "Submit".

  12. Click "Next".

  13. Review the report summary and click "Create" if everything looks correct.

This creates a saved filter (accessible via Documents → Saved Filters) that will automatically generate reports at your specified frequency and send them to the designated recipients.

To manage scheduled reports, use the Reporting Centre:

  • Scheduled Reports: Edit existing scheduled reports.

  • Report Instances: Download previously generated reports.

  • Destinations: Modify/create report recipients.

  • Remedial action reports can be scheduled via the ‘Schedule' button on the Remedial Actions page in the 'Assets’ drop down.It is also possible to schedule a Saved Filter report.

  • Scheduled reports can be viewed and edited from the ‘Scheduled Reports' page in the 'Reporting Centre’ drop down in the menu bar.

  • Previously run scheduled reports can be downloaded from the ‘Report Instances’ page in the reporting centre drop down in the menu bar.
