Remedial Actions
Resolving Results
Advisories and Failures can be resolved individually, or as part of a group.
To resolve a result outcome:
Go to ‘Outstanding Results’ on an asset
Click the checkbox(s) of the results you wish to resolve
Click ‘Resolve’
Enter the reason for resolving and click submit
The result(s) will move from your outstanding list, and onto the ‘Remedial actions' tab as a ‘Closed’ action.
Resolved results can be viewed as a list from ‘Assets’ - ‘Remedial Actions’ and from the ‘Remedial Actions’ dashboard widgets.
Remedial Actions
Remedial actions can be created directly from an Advisory or Failure in TCW.
Remedial actions can be forwarded to a third party (Action Recipient)
An Account administrator can set up an action recipient via the ‘Admin’ menu in TCW.
Once recipients are created they will be available to select when clicking ‘Queue’ on a remedial action, or when configuring an Auto Action
Actions can be automatically closed with superseding documentation using the ‘Closing Document Reference' field. See ‘Closing Reference’ below.
To create a remedial action from a result outcome:
Go to ‘Outstanding Results’ on an asset
Click the checkbox(s) of the results you wish to action
Click ‘Create Remedial’
Complete the required fields.
To create and send to a recipient now, click ‘Create and Queue’ You will then be presented with a ‘Recipient’ drop down.
To create and send later, click ‘Create’ You can then Queue and send to a recipient later by viewing the remedial action on the ‘Remedial actions’ tab on the asset
When an action is queued the recipient will receive an email stating the information entered in the previous step along with access to the original and annotated document.
If a new document is required from the recipient check ‘Document Required’
If you are happy for the recipient to be able to resolve the action remotely leave ‘Document Required’ unchecked.
Closing Actions
When a document is not required, the recipient will have the option to ‘Close Action’ directly from the action ticket.
When a document is required, the recipient will not have the option to ‘Resolve’ directly from the email action but be prompted to forward a new certificate.
If a closing document reference is not provided - A user of the system will then have to resolve manually via the assets remedial actions.
If a closing document reference is provided - The action will automatically close and your assets will update.
If FTP exporting is enabled, TCW can connect and re-export the document with updated results.
Closing Reference
TCW Actions can be automatically closed using the ‘Closing Reference' field when creating the action. Specifying a closing reference, then entering this reference in the comments section of the new certificate will automatically resolve the remedial action in TCW.
A closing reference could be a random reference, job number, SOR code or similar.
A closing reference must be unique.
Asset Status’s
When remedial actions are created/resolved, the asset status will be updated enabling you to focus on those which have not been addressed.
Needs Review - Failure/Advisory Results are still present and need reviewing
Open Actions - Failure/Advisory Results have been added to an open remedial action
Queued Actions - Failure/Advisory Results have been added to an open remedial action and have been ‘Queued’ or ‘Sent to a recipient’
No Action - Failure/Advisory Results have been addressed
Override Active - Asset has been overridden, some results may still remain.
No Documents - No supported documents present on asset
Scanned document active - Scanned certificate on asset
